A multi-tenant field-service platform built around the complete maintenance operation
We built a SaaS platform for an industrial maintenance business that needed to replace fragmented paperwork, spreadsheets, disconnected communication and manual coordination with one operational system.
The client identity remains confidential. The product supports multiple independent organizations while keeping each company’s users, clients, assets, workflows, documents and AI knowledge securely separated.
The challenge
Field-service work was being coordinated across people, documents, maintenance schedules and customer communication. The real problem was not a missing feature; it was that the operational context was scattered.
The system needed to give technicians the information they needed in the field while giving business owners visibility into workload, assignments, upcoming maintenance and customer activity.
What we built
- Multi-tenant SaaS architecture
- Organization and subscription management
- Employee invitations and role-based dashboards
- Client invitations and controlled customer access
- Valve and asset management
- Inspection and maintenance scheduling
- Technician assignments
- Timeline and calendar-based workflow management
- Email and SMS reminders
- Operational dashboards
- Organization-specific AI knowledge bases
- RAG-based technician assistant
How the system works
A company can manage its team, clients, assets and recurring maintenance from the same environment. Technicians receive the work and context relevant to them, while clients get controlled visibility without exposing internal records.
The AI assistant adds another layer: technicians can ask practical questions against the organization’s own manuals, procedures and technical documentation instead of stopping work to search through files.
Architecture & technology
The platform was structured as a multi-tenant SaaS application, with data separation and role-based access built around each organization. AI retrieval was scoped to organization-specific knowledge so responses reflected the actual standards and documentation of the company using the system.
- Multi-tenancy
- Role-based access
- Scheduling
- Notifications
- Client portals
- RAG
- Document retrieval
- AI assistants
- Operational dashboards
Outcome & impact
The system centralizes administration, maintenance planning, field execution and customer access in one workflow. It reduces the amount of time spent chasing information and makes the operation easier to understand as the business grows.
The AI layer is valuable because it turns company knowledge into something technicians can use at the point of work.
