03 You have a process that needs fixing

The work is fine. The plumbing around it is costing you a week a month.

Spreadsheets emailed back and forth. A form that re-keys into a CRM by hand. A weekly export that someone has to remember to run. Every operations team has a list. We make that list shorter.

If you've ever sighed and said any of these

Yes — those are the ones we fix.

Most ops bottlenecks are not exotic. They're the small daily frictions that nobody owns and everyone tolerates. We find them on a whiteboard in an afternoon.

What automation actually looks like

From twelve manual steps to one — that runs while you sleep.

A real onboarding flow we automated for a client. The "before" column is what their ops lead used to do every time. The "after" column is what runs now, on its own, when a deal closes in HubSpot.

Client onboarding flow Real example · 2025 Saved: ~6 hours / new client
Before Every step done by hand
1Deal marked Won in CRM
2Ops lead copies details to spreadsheet manual
3Email sent to client with welcome PDF manual
4Account created in product admin manual
5Slack channel created and invited manual
6Kickoff calendar invite drafted manual
7Finance notified, invoice template prepared manual
8Account manager updates personal tracker manual
~6.5 hrs per client
elapsed across 3 — 5 days
After One trigger, one workflow
1Deal marked Won in CRM
→Workflow triggers auto
2Account provisioned in product auto
3Welcome email + onboarding link sent auto
4Slack channel created, team invited auto
5Kickoff invite scheduled from AM's calendar auto
6Finance ticket opened with all metadata auto
7AM sees a single dashboard row, ready to greet human
~14 mins elapsed
all done in < 60 seconds
How a process engagement runs

Map. Pick. Build. Hand back.

We don't sell you a platform. We sell you a clear map of where your time is going, and a handful of focused builds against the biggest leaks.

01 Map Wk 1

One day on-site or over Zoom with the people doing the work. We leave with a wall of sticky notes — and a leaderboard of where time is actually going.

  • Workflow map
  • Time leak audit
  • Top-five shortlist
02 Pick Wk 2

Together we choose two or three flows to automate first — based on hours saved, error reduction, and how fragile the current setup is.

  • Costed shortlist
  • Decision workshop
  • Build plan
03 Build Wk 3 — 6

We wire the flows together using your existing tools where possible (Zapier, Make, HubSpot workflows) and code where it pays. One flow ships a week.

  • Integration build
  • Weekly go-lives
  • Operator training
04 Hand back Wk 7

Every flow comes with a runbook, an owner on your team, and a dashboard that shows when it last ran and how long it saved.

  • Runbooks per flow
  • Internal owner named
  • Savings dashboard
The questions we hear most

Asked by every operations lead we've worked with.

These come up on almost every first call. Answered plainly so we can spend discovery time on the questions specific to you.

Do you build the automations, or just advise?
We build them. Strategy that doesn't ship hasn't earned its keep. Where the right tool is Zapier or Make, we use it; where the right tool is a small custom service, we write it. The criterion is "will your team still be able to change it in two years," not "what's clever this week."
Will we end up locked into your tooling?
No. We use boring, well-documented tools your team can hire for — HubSpot workflows, Zapier, Make, Airtable, n8n, custom Laravel or Node where needed. Everything is documented in plain English, with the credentials in your accounts, not ours.
How do you decide what to automate first?
Two-axis scoring: hours saved per week × fragility of the current workaround. The combination of "expensive in time" and "one person away from breaking" goes first. Glamorous-but-rare flows go last, or never.
What if our team is nervous about losing control?
Reasonable concern, and the failure mode we plan for. Every automation has a human checkpoint, a kill switch, and a log of what it did. Operators see the time savings on a dashboard — and can pause anything that's behaving oddly without paging us.

Put a number on the time you're losing. Then get most of it back.

A one-day process audit. We map the flows, mark the leaks, and leave you with a costed list. No obligation after that.
